Exporting to Mailchimp & Your CRM
Scanned contacts are most valuable when they flow into the tools you already run your outreach from. Because ScanCardPro keeps everything in Google Sheets, getting your contacts into Mailchimp, HubSpot, Salesforce, or any other platform is quick. Here is the reliable way to do it.
Step 1: Pick the list to export
Decide whether you are exporting everyone or a focused segment — for example a single event or a category of leads. If it is a segment, sync that custom list to its own tab first so you are exporting exactly the right people. See Syncing Custom Lists to Their Own Tabs.
Step 2: Download a CSV from Google Sheets
Open your contact sheet (or the specific tab), then choose File → Download → Comma-separated values (.csv). This gives you a clean file with the standard columns — name, email, phone, company, title — that every CRM and email tool understands.
Step 3: Import into Mailchimp
In Mailchimp, go to your audience, choose Import contacts, and upload the CSV. During import, match each column to a Mailchimp field: email to Email Address, name to First/Last Name, company to Company, and so on. Mailchimp remembers this mapping for next time.
Step 4: Import into a CRM
The same CSV works for HubSpot, Salesforce, Pipedrive, Zoho, and others. Each has an import tool that walks you through matching columns to fields. Because your ScanCardPro sheet already has consistent headers, the field matching is usually one clean pass.
Step 5: Keep exports tidy
- Export segments, not everything, when you want a targeted campaign.
- Check for duplicates in your CRM's import preview before confirming.
- Re-export after big scanning sessions so your CRM stays current — for example after a conference.
A note on ongoing sync
CSV export is a snapshot at the moment you download it. For a one-time move or periodic top-ups, that is perfect. If you want near-real-time flow, many CRMs and tools like Zapier can watch a Google Sheet and pull in new rows automatically — a nice option once your scanning volume picks up.
